Enhancing Efficiency in HR Data Analysis with Qlik Sense at Securitas Poland

The project aimed to build an HR data analysis system to support the company’s management and managers in making key human resource management decisions.
The HR Qlik Sense application was intended to be a source of knowledge for the HR domain, covering aspects such as: salaries, raises, employee entitlements, holidays, retention and turnover rates, length of service, and employment structure at Securitas in Poland.

The Challenge

The project’s objective was to establish an HR data analysis system, empowering the company’s management and managers to make pivotal decisions concerning human capital. The HR Qlik Sense application was designed to serve as a comprehensive knowledge hub for HR, encompassing critical areas such as: compensation, salary adjustments, employee benefits, leave management, retention and turnover metrics, tenure, and the overall employment structure within Securitas Poland.

HR Qlik Sense was also to be integrated with the SAP HR and payroll module, as well as public data from the Central Statistical Office (GUS) regarding average salaries and unemployment rates (broken down by voivodeships and poviats). Such a solution needed to enable quick and easily digestible analysis of all required metrics at the most granular level, allowing for comparison with official public statistical data.

Hogart Business Intelligence: The Implementation Partner

For many years, Securitas in Poland has leveraged QlikView technology for business analytics, implemented with the collaboration of Hogart Business Intelligence. However, for the development of new HR applications, the more powerful and modern Qlik Sense technology was chosen. Once again, the project was entrusted to Hogart Business Intelligence, a proven and long-standing implementation partner. Hogart Business Intelligence guaranteed high-quality work, access to a team of specialists experienced in Qlik technologies, and the application of best project practices, including an agile implementation methodology to enhance project cost-effectiveness.

Hogart Business Intelligence’s scope of work included:

  • Providing licenses and installing the Qlik Sense platform in a hybrid environment with QlikView (so-called Dual Use)
  • Analyzing Securitas’ requirements and developing project assumptions
  • Designing the application’s data model and integrating data: HR from the SAP system, financial data, and GUS data
  • Designing and executing dashboards and detailed reports for the HR Qlik Sense application
  • Designing and implementing a user authorization system for specific data, analyses, and reports, ensuring personal data protection
  • Training users on how to work with the HR Qlik Sense application

Achieved Outcomes Through the Eyes of Users

The implementation of the modern Qlik Sense analytical platform and the creation of the HR application have radically transformed data processing and access to management information within the Securitas Group companies in Poland. Previously, data processing was a protracted process, demanding extensive manual effort and thus generating a risk of error. The distribution of reports to recipients was also a significant hurdle, with everything handled via email. Now, all data is consistent and readily available within a single, intuitive Qlik application. This empowers three organizational pillars—Controlling, HR, and Operations—to make critical, real-time decisions based on the same up-to-date data.

“"We seek and identify information that is unexpected or doesn't align with general assumptions. We pay attention to deviations from standards; anything outside the norm is subject to our analysis. If we identify that an employee's remuneration exceeds the regional or national average, we investigate the underlying reasons. We also analyze low-value discretionary bonuses that aren't tied to measurable work results and whose allocation rests with the manager. With the help of the Qlik Sense system, we also check if this option is being utilized too frequently."”

Controlling Department Manager

Among the other benefits associated with the implementation of the Qlik Sense HR application, it is worth highlighting:

  • Easy and fast access to current information at any level of detail.
  • The ability to gain a cross-sectional view of HR data compared to GUS reference data.
  • Freeing up significant time resources by automating the creation and distribution of analyses.
  • Developing awareness of key HR parameters – crucial from the perspective of the entire organization and the HR department.
  • The ability for decision-makers to compare key KPIs without access to sensitive detailed data (e.g., financial KPIs: revenues, profitability, portfolio growth, and HR KPIs: turnover, retention, utilization of holiday reserves).
  • Automation of data analysis processes, leading to improved work efficiency and reduced human error.
  • The ability to track current trends in the HR domain.
  • Clear visualization and presentation of data, tailored to specific user groups.

Summary

The HR Qlik Sense application was developed in 27 days, a testament to the collaboration between two Hogart Business Intelligence consultants and managers from the Controlling and HR departments. The application was built using an agile methodology, which allowed for ongoing project modifications in consultation with the team. Currently, Securitas Poland is collaborating with Hogart Business Intelligence on a new analytical project – a financial application integrated with data from the HR system.
